Introduction

Each Subject Library of the UWA Library maintains its own physical Reserve Collection, designed to give students access to high demand, core information for their specific courses. Items placed on reserve are available for two hour loan. Placing items on three day loan is another option for providing access to high demand materials over an extended period.

Items in the Reserve Collection for your unit will need to be included in your Course Materials Online (CMO) list. A guide to managing CMO lists is available to help you add or edit the items on your list.

To avoid delays at the start of semester, please ensure your CMO list is updated as early as possible.

What can be included in reserve?

Books & Non-print items

Texts that are required reading for a course (and therefore likely to be in high demand) are placed on reserve at the lecturer's request. Multiple copies of items are allowed on reserve.

A personal copy of a text may be placed on reserve (at the owner's risk). It may be more appropriate for extracts from the book to be digitised, however Copyright restrictions may apply. See your Subject Library for more information.

Audiovisual items, music scores, CD-ROMs and other materials may be included in the Reserve Collection if they conform with the Copyright Act. See the guide to copyright for teaching.

If an item is not held in the Library's collection, you can recommend that the Library purchase it. Guidelines are available for UWA staff to recommend new titles for purchase.

Interlibrary Loans

Interlibrary loan items cannot be put into the Reserve Collection.

Course Readers

Course readers can be placed in Reserve at the request of a lecturer. Individual articles and extracts in readers may also be digitised and added to CMO. Use the Request for Digital Copy form to request items to be added.

How to submit an item for reserve

Items in the Reserve Collection for your unit will need to be included in your Course Materials Online (CMO) list. A detailed guide to managing CMO lists is available to help you add or edit the items on your list. You will need to alert your Subject Library that you want these items placed in the Reserve Collection.

The steps for submitting items for reserve are as follows:

1. Login to Course Materials Online using your UWA ID (staff or student) number and Pheme password.

2. Browse to or search for your unit's CMO list

3. Click the unit title or the edit icon beside the list title 

4. Under the heading "Add new citation", click the Search for books, journal titles, digital chapters and articles, DVDs etc... link

5. Search for and locate required items in the Library catalogue

6. Select Add to List

7. Repeat steps 5-7 until all required items have been added

8. Set the demand level for all of the physical items on the list by using the radio buttons next to each item. These demand levels will determine the location of the item and the length of time it can be borrowed. Possible demand levels are:

H = High use (Required readings placed into Reserve Collection for 2-hour loan)

M = Medium use (Recommended readings placed on 3-day loan in the main collection)

L = Low use (Additional readings that will remain in the main collection with normal loan period)

9. Once complete, the checkbox next to Advise the Library to prepare my list for the coming teaching period will be ticked

10. Click the Save all and exit button to save your selections. An email will be sent automatically to your Subject Library advising them of what needs to be placed in reserve.

Revising you CMO list each semester

Materials are removed from reserve at the end of every semester, but not from your CMO list. Before the start of each semester you will be required to:

  1. Review your CMO list to ensure that the citations are still relevant
  2. Review the demand levels for all physical items on the list and make any changes
  3. If there are no changes to the list, tick the checkbox next to Advise the Library to prepare my list for the coming teaching period and click the Save all and exit button. An email will then be automatically sent to your Subject Library advising them to process your items for the coming semester.
